Managing a conference: registration, welcome and attendance count
For a conference, Carton Blanc opens registration on a page, closes it at the capacity of the room, reminds those who have not registered and provides the check-in list at the desk on a phone.
A conference has two numbers that matter: how many registered and how many attended. The gap between them depends on the audience and on whether entry is free, and it determines the room size, the coffee to order and the credibility of the report sent to partners.
Carton Blanc tracks both numbers. Registrations arrive on the conference page, on the day the list is checked off on a phone, and the follow-up message reaches attendees and absentees with a text suited to each.
How Carton Blanc handles this event
- Invitations
- You invite from a list, with the flyer and the programme. Relays (association, partner, school) receive their link and their registrations stay attached to them.
- Registration
- Participants register on the conference page. They give their company and country if you ask, and can put a question to the speaker.
- Waiting list
- Once capacity is reached, the page opens a waiting list. Withdrawals are common at free events: you call the first names on the list.
- Reminders
- The D-14 reminder targets guests who have not replied, and the reminder the day before gives the address, access and a calendar link.
- Check-in
- The welcome desk checks arrivals off on a phone. The final count of attendees is available the same evening.
The recommended mailing calendar
A conference open to professionals fills between three and five weeks ahead. Carton Blanc's default calendar matches that window; you can bring the invitation closer to the date if the event is local.
D-42 · Six weeks before
The announcement: topic, date, speakers, flyer.
D-28 · Four weeks before
The detailed invitation: programme, venue, registration link.
D-14 · Two weeks before
The reminder to guests who have not registered.
D-1 · The day before
The reminder to registered guests: access, time, calendar link.
D+2 · Two days after
The follow-up message, with materials for those who came and an invitation to the next session for those who did not.
Organiser's tips
- Count on no-shows at a free event. Open registration at a capacity slightly above the room, and turn on the waiting list to keep the real room full.
- Put the finishing time in the invitation. Professionals register more easily when they know when they can leave. The detail costs one line.
- Prepare the follow-up message before the event. It is ready as a draft from creation: read it the day before and it goes out two days later, with no extra effort.
- Check people in rather than counting by eye. Named check-in gives you the list of those who came, useful for partner relations and for the next invitation.
Frequently asked questions
- Does Carton Blanc handle conference check-in?
- Yes. On the evening itself, the list opens on a phone and the welcome desk checks arrivals off. The count of attendees is then available.
- Can people register without being sent an invitation?
- Yes. Anyone who has the page link can register. You can also import a list from Excel.
- Is registration limited?
- Yes. You set the capacity when you create the event; beyond it, registrations go on a waiting list.
- What is the price for one conference?
- A single event is paid once, with no subscription. The price is at the bottom of this page; it also applies to a daytime conference.
The flyer for this event
For a conference, the styles with a colour block and a list of speakers suit the programme well. The flyer is created free of charge in your account.

What Carton Blanc does not do
Carton Blanc is not a ticketing tool: it takes no ticket payments and sells nothing to guests. No email is sent without the organiser's approval. There is no advertising, no resale of data and no free plan.
Create an account from €49
Carton Blanc costs €99 incl. VAT a month (€82.50 excl. VAT) with no commitment, or €990 incl. VAT a year (€825 excl. VAT). A single event costs €49 incl. VAT (€40.83 excl. VAT), paid once: its emails and page stay open until 30 days after its date.
