Christmas party: flyer, invitation and following the replies

Updated

In short

  • Year-end invitations go out earlier than others, because November and December diaries fill from the autumn.
  • A Christmas invitation says who is hosting, which day, what time, where, and how to reply by which date.
  • Carton Blanc follows replies, reminds only those who haven't answered and checks guests in; templates from the party and afterwork gallery can be edited for Christmas.

Which flyer works for a Christmas party?

Choose by audience. For a company or association party, a restrained template in deep colours (fir green, burgundy, gold) reads at once and does not look like a children's party. For an evening with friends, a livelier template with a big title fits.

The gallery has no section dedicated to Christmas; party and afterwork templates, like dinner or gala ones, can be edited for the occasion: change the title, colours and photo in the editor.

What should a company Christmas party invitation say?

The name of the evening, the date and arrival time, the venue, what is planned (dinner, music, gifts), and the reply-by date. Say whether guests may bring someone and whether the dress code is open. A line about dietary needs, with a way to flag them, saves individual messages.

  • “Team year-end party, Thursday 11 December, from 7 pm.”
  • “Please reply by 28 November: places are limited.”
  • “Tell us about any dietary needs on the form.”

When should holiday invitations go out?

Six to eight weeks ahead, which means early October for a mid-December party. A reminder follows two weeks before to non-responders only, and a last one goes the day before. Sending in November means walking into diaries that are already full.

How do you personalise a flyer template?

You choose a template, then change the title, colours, photo and language in the editor. The flyer is free as soon as your account is open, in French or English.

How do you track replies during the holiday season?

Guests reply on the event page and receive a confirmation. You watch the total grow, remind those who have not replied, and the waiting list takes over when the room is full: at this time of year late drop-outs are common, and a waiting list avoids empty seats.

A sample Christmas invitation

Here is an outline: “Subject: Year-end party, Thursday 11 December. We invite you to celebrate the end of the year with us on Thursday 11 December from 7 pm at [venue]. On the programme: dinner, music and a surprise. Please reply by 28 November on this link: [link]. Let us know too if you have any dietary requirements.”

The tone stays that of the relationship: warmer for a team, more measured for clients.

What mistakes should you avoid for a year-end party?

The commonest is sending too late: the invitation lands in diaries that are already full, and replies are slow. The second is piling on reminders; one, sent to non-responders, is enough, with a last one the day before to those registered.

  • Sending in November for a December party.
  • Not setting a reply-by date.
  • Forgetting to ask about dietary requirements.
  • Choosing a flyer that is hard to read: a busy background and thin text that fade on a phone.

What should the flyer say, and in how many words?

As few as possible: the name of the party, the day, the time, the place and the reply link. Anything else goes on the page or in the email. A flyer that carries ten lines of text is read as noise on a phone, whatever the season. If you must choose, keep the date and the place large and put the programme in the email, where there is room to explain it.
